The following information provides terms and conditions for anyone making a booking with Powder and Pin. To ensure you are happy with all of the booking terms we ask you to please read this information before confirming your booking with us and if you have any questions please feel welcome to get in touch and we will be happy to help.

WEDDING Bookings - Deposits and Payments

To fully secure a wedding date with Powder and Pin we require a deposit of £30 in order to reserve the date. Please note that no booking is confirmed until a deposit has been received and confirmation of availability does not secure a booking. Once this deposit has been received your wedding date will be booked in the diary with us and will be unavailable for anyone else to book.

Following the trial if you wish to proceed in further securing your wedding date with us we require a further deposit of £50 payable within one week of the trial date which will be deducted from the total amount due six weeks before your wedding.

Failure to pay the further £50 deposit within one week of the trial date means that we can release the wedding date for another party to book although this will be confirmed with you by email before this happens and in some cases we may reserve the date for an extended time at our discretion. 

If a booking is made whereby the wedding is less than two months away this is classed as a ‘last minute’ booking and a deposit of £80 will be required up front to secure the wedding date.

TRIALS

Please note as we are a mobile team of stylists, trial appointments are on a mobile basis and must take place in East or West Sussex. Where circumstances do not allow this you are welcome to visit our stylists at their home in Brighton and Hove.

Bridal trials are approximately three hours long (for both hair and make up, two hours separately) and any additional time will be charged at a rate of £20 per half hour. If we have another appointment after you our stylists may suggest to book another trial in for another date. 

It is our advice to book a trial in as early as possible so that a date is in the diary. For bookings where the client has paid a deposit to secure a wedding date although hasn't booked a trial we cannot make any guarantees that a particular trial date will be available.

We always aim to be as accommodating as possible when booking in trials although if you require a Saturday or Sunday appointment please let us know in advance. Some flexibility with timings is required at weekends as wedding bookings take priority on these days.

Your trial appointment will always be with the same stylist as the wedding day.

COVID-19 WEDDING POSTPONEMENTS

For weddings affected by Covid-19 we will be happy to transfer deposits to an alternative date if the client wishes to postpone their booking providing we have availability on the new date. Please note this only applies to Covid affected weddings where restrictions have prevented the wedding from going ahead as planned. 

In the event that we are unable to accommodate the new wedding date no refunds will be offered and the usual cancellation policy applies. Deposit payments are non-refundable under any circumstances.

CANCELLATIONS AND REFUNDS

In the event of a cancellation of a wedding, hen party or booking, all payments including deposits made to Sarah Chapple of Powder and Pin are non-refundable.

If you cancel your wedding/event/hair/make up booking (in writing) more than six weeks before the event date no further payment will be required from you however your deposit will not be refunded under any circumstances.
If you need to cancel or amend your booking for a wedding/event/hair and/or make up reservation less than 6 weeks before the event date please let us know as soon as possible and in writing. All monies paid by you (including deposit, balance payment and payment for any additional hair or make up services) will be fully retained by us and no refunds will be made.

Minimum booking fees for wedding dates must always be fulfilled and payment covered.

The above cancellation policy covers our stylists for loss of earnings with insufficient cancellation notice periods and admin fees.

All deposits paid cover our admin fees as well as reserving a date/booking with us. In the event of a national lockdown relating to Covid-19 where services cannot be provided any amount paid towards a booking in addition to the deposit will be refunded.
Please note all deposit payments will be retained however we will be happy to transfer your booking and deposit to another date for you providing we have availability - please get in touch with us to confirm this.

Your happiness is really important to us and therefore we always check you are happy with our service before leaving. If you are unsure about anything we have done or unhappy with our service for any reason please let us know during the appointment so we can try our best to resolve the issue and ensure you are happy. Refunds cannot be made once we have left or after the appointment.

MINIMUM BOOKING FEES FOR PEAK SEASON WEDDINGS

During peak season (April to October) of any year a minimum booking fee for weddings may be set for any reservation made with us at the time of booking. These respective amounts will be explained to you upon booking and must be upheld if you wish to keep a booking with us. Powder and Pin stylists reserve the right to terminate agreements of an appointment or booking if failure to comply with the minimum amount arises. 

As a general rule minimum bookings on a Saturday between May to September are £350. Set minimum amounts do not include travel money, parking fees or trial appointment fees.  

Timings/ADDITIONAL STYLISTS FOR WEDDINGS

If a bridal party requires additional stylists (more than one) for a wedding day for hair and make up this is arranged with our team at no extra fee.

If it’s a case whereby one stylist is capable of seeing everyone on the wedding morning but you’d like to start a little later this may incur an additional fee. If two stylists are required for a booking a minimum spend amount may be set for each stylist and will be confirmed at the time of booking.

PAYMENT (Trials and non-wedding bookings)

Payment for a trial or hair and make up appointment must clear in our account 24 hours before the appointment if payment is made via bank transfer or will be required to be paid in cash on the day. We do not accept bank transfers after a booking and if the correct amount has not been paid before or during the appointment a £10 admin fee may be added on to compensate for time spent organising payment. I reserve the right to cancel any appointment where funds have not been paid within these requests.

TRAVEL/CALL OUT AND PARKING FEES

Travel and parking fees, if applicable on wedding dates and trial appointments, are in addition to our services. Our Travel and call out fees are confirmed in the initial quote for the wedding day and may also apply to trial appointments if the address we are visiting is outside a 10 mile radius of Brighton. This ensures we are covered for any travel costs and our time while travelling to you. Parking fees where applicable can be estimated for the day if we know the area.

All of our stylists are mobile and we calculate the cost of travel fees by car. If in the event that a stylist cannot reach you on a wedding day due to unexpected issues with a vehicle we cover fees up to £30 for other modes of transport to be used to reach you. If the wedding is a long distance from Brighton and we require additional fares to be covered for taxis etc to and from a venue anything above £30 will be added to the total amount on the wedding day.

BOOKING ALTERATIONS

Please note if your quote changes from the initial enquiry at any stage this may impact any travel fees or discounts applied as these are decided upon the size of the booking and by the travel time to and from a location. We reserve the right to amend a travel fee if any changes are made to the booking following the initial quote. 

LIABILITY 

For hair and make up procedures the client is required to inform the hair or make up artist of any allergies they are aware of before the application of any make up. Each stylist is individually and professionally responsible for their own consultation and by booking with Powder and Pin you constitute that all of the questions asked of you relating to any medical history are correctly answered and the statements provided are correct and true to the best of your knowledge. You therefore give your consent and permission to the make up artist to perform the procedure discussed using the make up and/or products of their choice and will consent to not hold the stylist liable for any adverse reaction to the make up or procedure today or any date in the future.

INSURANCE

All of our stylists are fully insured independently for all services provided.

When making a wedding booking with us a copy of our full terms and conditions will be sent to you by email along with a booking form to complete.

As part of the new General Data Protection Regulation which came into effect on the 25th May 2018, Powder and Pin have created this page to outline our data protection policies and terms of service which will apply to anyone booking with us or using our services. 

To ensure we follow the correct guidelines for respecting our client’s data we have written the following information below for our client’s to read and better understand what we use your data for, how we manage it and why we require it. By booking with us and using our services we consider you and all persons involved in the booking to be in agreement to our privacy policy relating to your personal data. Collecting Information for Hair and Make up services

We request the minimum level of personal information from our clientele to run our business effectively. The data and personal information you provide us with such as your name and contact details will not be disclosed with any sources outside of our business or with any third party. At Powder and Pin we understand the importance of protecting our client’s personal data and take your right to privacy very seriously which therefore means we take the upmost care when carrying out the following procedures to ensure we maintain and exceed our responsibilities in relation to storing your data.

By using our services and booking with Powder and Pin we consider you to have provided consent for us to collect this data from you and for this information to be used in the following ways outlined below in our fair processing notices.


Why we need to Collect this Information and what information we collect

We only collect information which is essential to run our business effectively. The information we require and why we need it is explained below in the following text. All information provided to us about our client's is stored safely and securely, on password protected computers that only the owner of Powder and Pin or authorised staff have access to.

  • Client’s Address

We will only ask for your address if we require it for our appointment with you. This information will only be used for the purpose of meeting you for your appointment time and will only be shared with freelance employees of Powder and Pin when necessary, for example any stylist who also requires the address such as an assistant hair and make up artist or the stylist fulfilling an appointment or booking with us.

  • Client’s Contact Number

We will only ask for your contact number in relation to an appointment with you made via email or social media so that we can contact you if necessary to update you with any details regarding your appointment or booking. This information may be passed on to the relevant stylist for your appointment along with your address and will not be used for any marketing purposes. 

  • Email Address

When contacting us via email or contact form on our website your email is only stored on the email provider in which we use. We do not pass any data onto other companies or third parties. We will only use this information for appointment purposes to contact you such as confirmation details or other relatable details regarding your appointment or for reviews, feedback and photo permissions detailed below. Your email address along with your contact number and address information may be passed on to the relevant stylist for your appointment if necessary.

  • Medical Data

When carrying out a make up procedure we may ask you to complete a medical consultation card to ensure you have had no previous reactions to any make up, have no known allergies or sensitivities relating to any products and consent to us using our own make up products on your skin and hereby releasing us of any liability to any adverse reactions following your make up application. This information is known as ‘sensitive data’ and requires your name, a signature and six to eight health related questions relating to make up. Examples of medical data which we collect in our consultation cards may be concerning allergies, pregnancy information (if currently pregnant) or an injury/current medication that may impact our service.


Retention period

We only keep appropriate medical record cards for as long as we necessarily require them and are destroyed respectively after this period. We do not keep medical record cards for longer than 12 months from the date of your booking with us.


Marketing    

We do not use any personal information such your phone number or email address for marketing purposes. Powder and Pin do not carry out email marketing campaigns and will only use your personal data to contact you in relation to an appointment you have with us.


Reviews and Feedback 

After our appointment with you we may contact you via email or SMS asking you to leave a review of your experience with us and our services. We consider your agreement and participation in the service (for example booking with us) as consent to contact you and undertake this activity although anyone is welcome to opt out of this at anytime and there is no obligation to leave a review or provide us with any feedback.


Photography 

After our appointment with you we may contact you via email or SMS to see if you would be happy to send us some photos from your wedding day, hair and make up appointment or hen party. We consider any photos you send us as consented images to use on our website (www.powderandpin.co.uk) and all social media platforms including Instagram, Facebook and Twitter. Where possible we always credit the photographer for any images we use so gratefully appreciate when this information is provided to us along with any images you send. As a client of Powder and Pin you are not obliged to send us any images and entitled to opt out of this anytime in the future whereby we can remove the images from our website and/or social media. 

During our appointment/booking with you we may take photos which we may use on our website and social media platforms. With permission being granted to take these photos and for you allowing us to do so we take this participation and agreement as consent to use the images on our website and social media. We may use your first name along with any photos on the respectful platforms and by booking with us you acknowledge consent for us to do this. You are fully entitled to deny any images being taken and to opt out of your images being used at any time in which they will be removed and no longer used online. 


Your Rights 

The GDPR Laws give you the right to access information held about you and at Powder and Pin we want to make it easy for you to withdraw consent should you want to at any point. To do this or discuss anything with us you may contact us to;
